When You Arrive at AC

Here is what you need to know when you are at Annual Conference:

Check in

Packets of information and name tags for the Conference will be available for pickup on the morning of Mon., June 9.  There will be no onsite registration, only packet pick-up.


  • Accessibility 
    • An accessibility coordinator will help with accommodations for those with vision, movement, hearing, and other limitations. When you register, please indicate your needs. (This includes mobility scooters.)
    • If you need a mother's room or a private space to nurse/pump, please contact Ariel Alonso before Annual Conference.
    • Large-print programs will be available near the hall entrance. 
    • Subtitles are available on screen.
      • The subtitles are AI generated to keep costs down. Occasionally there are some mistakes. Please give grace.
  • Announcements and Promotions Requests 
    • Announcements during AC will be projected on the screen after approval. Submissions can be sent to Randy Hayes, Annual Conference Secretary or delivered to the table on the dias during a break. These would include changes in meeting locations, prayer requests, etc. 
    • Media and Videos to be projected on the screens during AC will need to be submitted and preapproved. More information can be found on the request form. Requests  are needed by April 15.
    • Print Materials will have limited distribution as we continue to be good stewards of the environment. The Annual Conference Secretary, Randy Hayes, must preapprove any material to be distributed on the AC floor. Approval can be requested via email or requested to Randy who sits on the table on the dias during a break. Only ushers may distribute materials. Groups may provide handouts at their display tables.

  • Charging Stations will not be offered this year. Please come with devices charged.

  • Child Care 
    • The Annual Conference Committee has worked hard to organize a child care option for the AC members. Childcare will be provided during session times. It will be hosted by Schaumburg: Our Saviour's UMC in conjunction with  Schaumburg: Our Redeemer's UMC.
    • Sign-up and payment will be a part of the Annual Conference registration opening April 1. Registration closes May 23. No late registrations will be accepted.

  • Emergencies and Safety 
    • A first aid kit will be at the information desk for basic first aid needs.
    • If there is a serious health emergency or injury: Call 911. Report situation to Information Desk immediately.
    • For fire or weather emergencies - follow the posted signs.
  • Information desk
    • An information desk is available outsite the ballroom. Please visit it with any questions you may have. If they do not have the information, they can find it out for you.
    • Lost and Found items will be kept at this desk.

  • Mobility Scooters 
    • Scooters will be available to those who had requested them when they registered in advance for the conference. BE SURE TO INDICATE YOUR SCOOTER REQUEST WHEN REGISTERING FOR CONFERENCE. Please do not wait until you arrive at the conference to make a request; there will not be one available to you. Those who requested scooters will receive information on where to find them at the conference. 
  • Parlimently Procedure
    • Confused with parliamentary procedure? Annual Conference follows the Robert's Rules of Order. These resources might help:
    • Making a Motion From the Floor amending a motion from the floor requires a written copy. Please complete the form with the required signatures before making the motion. Both the ushers' and secretaries' tables have copies of the required triplicate forms. Both the motion maker and the person seconding need to sign the form.
